About the Role

We are looking for a responsible and detail-oriented Facilities & HSE Coordinator to support safe, hygienic, and compliant day-to-day operations within an international organization.

The role combines HSE coordination, food safety and hygiene monitoring, facilities support, compliance documentation, inspections, and coordination with internal teams and external contractors.

The Coordinator will support the implementation of health, safety, environmental, and food safety requirements in accordance with local regulations and international best practices.

Key Responsibilities

  • Support the implementation and monitoring of HSE procedures and internal safety standards.
  • Conduct regular inspections of facilities, work areas, common areas, kitchens, and other operational spaces.
  • Monitor compliance with hygiene, sanitation, cleaning, chemical handling, and workplace safety requirements.
  • Support food safety and hygiene monitoring, including food handling, storage, preparation, and service processes.
  • Monitor compliance with HACCP-based procedures and assist in identifying and addressing food safety risks.
  • Maintain inspection checklists, incident reports, corrective action records, permits, certificates, and other HSE documentation.
  • Follow up with responsible employees and contractors on identified safety, hygiene, and maintenance issues.
  • Coordinate basic HSE and hygiene training for employees and contractors, including fire safety, emergency procedures, chemical handling, and hygiene requirements.
  • Maintain and update Safety Data Sheets (SDS) and records related to cleaning and food preparation chemicals.
  • Support emergency preparedness activities, drills, first aid arrangements, and incident reporting.
  • Coordinate with Facilities and Operations teams regarding ventilation, pest control, water systems, waste management, and general environmental conditions.
  • Monitor contractor compliance with safety and environmental requirements during maintenance, repair, and service activities.
  • Support communication and documentation for inspections by health, fire safety, environmental, and other regulatory authorities.
  • Prepare regular HSE, food safety, hygiene, and facilities reports for management.
  • Support sustainability initiatives, including waste reduction, recycling, and responsible use of resources.

Requirements

  • Bachelor’s degree in Occupational Safety, Environmental Health, Public Health, Food Safety, Facilities Management, Business Management, or a related field.
  • 2–3 years of relevant experience in HSE, food safety, quality, facilities coordination, hospitality, catering, healthcare, or a similar operational environment.
  • Practical understanding of workplace health and safety, hygiene, sanitation, and risk management principles.
  • Knowledge of HACCP and food safety principles is required.
  • Experience with inspections, checklists, corrective actions, incident reporting, and compliance documentation.
  • Good working knowledge of Microsoft Office, particularly Excel and Word.
  • Ability to work with regulations, procedures, checklists, and operational documentation.
  • Strong organizational skills and attention to detail.
  • Ability to coordinate multiple tasks and follow up on outstanding issues.
  • Good communication skills and ability to work effectively with employees, contractors, and external service providers.
  • English and Russian — good working proficiency, both written and spoken.

Nice to Have

  • HACCP, Food Safety, ISO 22000, IOSH, OSHA, or other relevant certification.
  • NEBOSH certification or relevant HSE training.
  • Experience in hospitality, catering, healthcare, education, international organizations, or large commercial facilities.
  • Experience with food safety inspections or kitchen/catering operations.
  • Experience with fire safety, emergency preparedness, chemical safety, or environmental compliance.
  • Experience coordinating contractors and maintenance activities.
  • Experience working in an international or multicultural environment.
