Business Analyst — Deduction Management

About Promomash

Promomash is a US-based SaaS company serving natural and organic CPG brands. Our platform manages trade promotion planning and execution and, through our Deduction Management service, recovers money brands lose to retailer and distributor deductions (UNFI, KeHE, Walmart, Kroger and others). A team of 90+ deduction specialists works on the platform every day; a Russian-speaking development team of 18 builds it.

You will be the first Business Analyst on the Deductions product. The role sits between the people who run deductions for our clients and the developers who build the tools they use. You will have flexible work hours totaling to 40 hours a week.

What you will do

You own a feature end to end: from the request to the accepted result in production.

• Work directly with the Deductions leadership team (Director, Implementation Lead) and product leadership. Join client calls when a requirement needs to be captured first-hand.
• Take incoming requests from the operations team and clients and separate the problem from the proposed solution. Check each one against the backlog: new, duplicate, or part of something already planned. Link every ticket to its source — email, call, Slack thread — so the context can be recovered.
• Write the brief: the problem, inputs and outputs, business rules and edge cases, what is out of scope, and acceptance criteria with worked examples on real data. Confirm it with development and the operations team before work starts. No feature starts without one.
• Be the single point of contact for developers while a feature is being built: answer questions in writing, make the small product decisions inside the brief, escalate the ones outside it, and keep the ticket moving.
• Accept completed work on staging against the acceptance criteria, including adjacent scenarios. Record the result in the ticket. Get stakeholder sign-off.
• Roll releases out to the internal team: release notes, walkthroughs, feature-flag enablement across clients, and follow-through until the old way is retired.
• Triage issues reported by the operations team: reproduce, check the data with SQL, and decide whether it is a bug, a data problem, or a usage question — and hand each to the right place.
• Own deduction-side requirements for cash application and remittance processing: bank files, remittance inboxes, settlement types, clearing files, ERP fields.
• Close the loop: short English summaries of client calls for the team, and clear answers back to the operations team on what was done, what was not, and why.

Requirements

• Fluent English (daily written and spoken work with the US team) and fluent Russian (development team).
• 3+ years as a Business Analyst, Product Analyst, Systems Analyst, or QA/Test Analyst on a software product, with hands-on experience writing requirements and accepting delivered work against them.
• Background in finance operations: accounts receivable, collections, credit control, cash application, or order-to-cash — in a company or as an implementation analyst on the AR module of an ERP (NetSuite, SAP, 1C, Oracle).
• Working SQL: you can join tables and check a number yourself without waiting for a developer.
• You write clearly and briefly. You would rather send a one-page brief than schedule a meeting.
• You can take a half-formed request from a busy operations person and turn it into something a developer can build without a second call.
• You go to the source yourself — the client, the operations lead, the developer — instead of waiting for the task to arrive fully formed.
• Working hours that overlap the US business day (afternoon and evening, MSK time).

Nice to have

• Experience with US retail or distributor deductions, chargebacks, or trade promotion settlement.
• Work with US CPG, retail, or consumer goods clients.
• Daily use of AI tools for analysis, drafting, and testing — we use Claude across the team and expect you to.
• ERP integrations (NetSuite, SAP, Dynamics 365 Business Central) and SFTP/API data exchange.
• Exposure to feature-flagged releases and staged rollouts.

Not required

• Knowledge of our domain on day one. Nobody has it from outside; what matters is how fast you pick it up.
